Contracting

Every item with its stages, and every certificate with its previous, current and to-date

The contract with its numbered addenda and the terms applying to each certificate; the bill of quantities with sections, item stages and weights, and rate analysis (manual, from a library or from Excel); variation orders with their effect before approval (increase, decrease, cancel, price change "on new work" or "on all", new item); measurement by dimensions or by stations; progress from measurements, deliveries and tests; owner certificates with submitted and approved quantities, materials on site, deductions and VAT; revising a past certificate with a new version and recalculating the following ones; subcontractors and their certificates; costs, budget and custodies; letters of guarantee; penalties, extensions and price adjustment; provisional and final handover; the site diary; correspondence and drawings; registers for each trade, and 36 reports.

The certificate with previous, current and to-date

How it helps

The certificate as it looks on paper

Each item with previous, current and to-date quantities, percentage and value; then works, materials and VAT less advance recovery, retention, withholding tax, insurance, syndicate and penalty — and the net with its entry and invoice.

Revising never erases history

Correcting a quantity in a past certificate creates a new version of it and of every later one, reverses the old entries and moves collections to the new version; the total changes only by the real difference.

Every trade with its own screens

Construction with pours and bar schedules, finishing with sample approvals, MEP with devices and tests, aluminium and joinery with openings schedules and cutting, roads with stations, equipment logs and compaction tests.

How Contracting works, part by part

  1. Tenders and pricing

The tender book and its cost, the bid bond in cash or by letter of guarantee, and every item priced from its cost analysis (materials, labour, equipment) or from the price library of past tenders and contracts — then the result: won and turned into a contract, or lost with the gap to the winner.

  2. Contract and bill of quantities

Contract value and the terms applied to every certificate: advance and its recovery rate, retention, withholding tax, insurance, syndicate and stamp duty, capped delay penalties — and the bill of quantities by section, item stages and weights.

  3. Letters of guarantee

Bid, advance-payment and performance guarantees with their margin, commission and expiry date, an alert before expiry, and renewal, reduction and release — each with its journal entry.

  4. Site diary and measurements

Daily labour, equipment, works and obstacles, and a measurement sheet by dimensions per item and location approved by the consultant — the quantity the certificate is paid on.

  5. Progress

Progress of every item and stage from approved measurements, deliveries or tests against the plan, with delays flagged.

  6. Variation orders

Increase, reduction, omission, new item or rate change — their effect on contract value and duration shown before approval, with the 25% alert for government contracts.

  7. Owner certificates

Built from approved measurements: previous, current and to-date for every item, then VAT, advance recovery, retention and deductions; approval issues the tax invoice and the journal entry together, collected in full or in instalments.

  8. Revising an approved certificate

A new version with a written reason: the old version’s entry and invoice are reversed and the new one posted, both kept for audit.

  9. Subcontractors

The subcontract with its items and rates, and its certificates from the same measurements with deductions and payments — what was paid to subcontractors against what was collected from the owner.

  10. Costs, budget and advances

Materials from the warehouse, staff advances and expenses charged to the project and item, actuals against budget, and the forecast to completion and its profit.

  11. Addendum, suspension and termination

An addendum changing scope or duration, a suspension with its reason and party that generates an extension request on resumption, and termination by owner or contractor with retention and penalty in the financial position.

  12. Registers for every work type

Structures with pours, cubes and rebar schedules, finishes with sample approvals, installations with equipment and tests.

  13. Handover and final account

Snag lists with their owner, provisional then final handover, the final certificate, and retention released on time.

  14. The full project report

For every project: revenue, costs, collections, retention, guarantees, progress and profit on one page.
